Is it the right skill?
Use it when
- A recurring meeting produces commitments that get lost.
- Attendees agreed that the meeting could be transcribed.
Skip it when
- Anyone present did not agree to recording or transcription.
- The meeting covered personnel or disciplinary matters.
Before you start
- A transcript with speaker names and timestamps.
- Consent from attendees to use the transcript this way.
Steps
Do not move on until the checkpoint holds.
-
Confirm consent and scope
Check that every attendee agreed to the transcript being processed, and remove any section marked off the record.
Checkpoint You can name who consented and how.
-
Ask for three lists
Request decisions, actions and open questions. For actions, the owner and due date must be quoted from the transcript; otherwise write unassigned or no date.
Checkpoint No owner or date appears that nobody said.
-
Attach timestamps
Ask for the transcript timestamp next to each decision and action.
Checkpoint Each item can be found in the transcript within a few seconds.
-
Confirm with owners
Send each owner only their actions and ask them to confirm or correct.
Checkpoint Every named owner has replied before the note is shared widely.
What can go wrong
- Effect on people A misattributed action is a commitment someone never made. Owners confirm before anything is distributed.
- Privacy Transcripts contain names and side remarks. Delete the raw transcript when the note is confirmed, if your policy allows.
